AUTHORISATION LETTER

Overview

Your personal letter of authorisation entitles you to have someone else lodge your application documents with Her Majesty's Passport Office as well as pick your travel passport so you don't have to.

When applying with Rapid British Passports, your authorisation letter and all supporting documents for your application need to be sent together. To help you through this sometimes complicated process, we have created a simple template for you that you will have access to as soon as you fill out your order form.

Your Rapid British Passports' agent will provide photographic proof of identity at the passport office so that everything can be properly verified.

Important Note

Please note that applicants can only hold a maximum 2 passports at a time, regardless of whether they have expired or not. If you have any undeclared second passports, then you must state these with our team members upon contact and application.

The letter contains

Your authorisation letter of authorisation should be addressed to Her Majesty's Passport Office and contain within the document the following information:

  • Your unique, personal and verifiable information (your first name and surname, the address where you live, your unique handwritten signature, and the date of the application).
  • British Passport's agency information, which shall include the name of the agent who will apply on your behalf and pick up your passport personally.
  • A statement of certification, as follows:

“This is to certify that I _____________________________________ (applicant's name) authorise my agent, whose signature is verified below, to lodge my application for a _______________________ passport and to collect my new passport on my behalf.”

The Letter Contains

The authorisation letter will need to be addressed to Her Majesty's Passport Office and contain:

1. Information concerning your person :

  • All of your names (first, middle and surname)
  • You're handwritten, unique signature and the date you provide your signature.

Your agent at Rapid British Passports is required to demonstrate original photographic proof of their identity in order for this document to be verified.

2. The statement:

“This is to certify that I _____________________________________ (applicant's name) authorise my agent, whose signature is verified below, to lodge my application for a _______________________ passport and to collect my new passport on my behalf.”

Application Form

Overview

To countersign a document means to sign a paper that has already been signed by someone else. In the case of a UK passport application, the countersignature can only be executed by a specific person and is required to vouch for the authenticity of the application.

The countersignature is mandatory under Section 10 of the passport application form and on the back of one of the passport photos.

  • First Adult Passport
  • Second Passport
  • Passport Renewal for a child who is not yet 11 years old or when the way the person looks has changed so significantly that they can no longer be recognised from his/her most recent passport.
  • When a lost, damaged or stolen passport needs replacing.
  • When a passport's expiry date needs to be extended.

How to countersign

Who can countersign your document

The individual who applies their signature to the application form and the photograph must:

  • have known or had contact with the applicant for at least the last two years.
  • can easily identify the applicant.
  • has a residence in the UK.
  • Is in possession of a valid, current British or Irish passport. When applying for a passport from another country, an EU, US or Commonwealth passport will suffice but the person providing the second signature will need to hand in a colour photocopy of their main passport page, this is the page which contains their photo, personal details amd passport number. It is important that this photocopy is provided together with the countersigned application. It is likely that your application will be processed more quickly if your counter signatory has a British or Irish passport
  • Have an occupation in or be in retirement from a recognised professional industry such as the banking industry, the local police force, local government, the church, education, accountancy, engineering or law.
  • Be absolutely obliging and willing to be contacted if necessary, and be happy to provide his or her own passport number on your application form.

For applications on behalf of a child, the counter signatory must also:

  • Acknowledge and confirm that they have been a regular acquaintance of the person or parent who has signed Section 9 of the application form for at least the last 2 years. The provider of the countersignature must also state firmly that this person has parental responsibility for the child and confirm that the child's photo is an accurate representation of the child.

It is forbidden for the counter signatory to be:

  • a relation of the applicant/li>
  • married to the applicant, living with them or in a relationship with them
  • Someone who works for Her Majesty's Passport Office.

Countersigning a passport application form and photograph

The application form

Once the person applying has filled out all of the relevant sections of the application form, the person providing the second signature (or countersignature) needs to check that all details are true and accurate before completing and signing Section 10 by hand.

The counter signatory needs to provide their full address (business or home) and their relevant contact details.

Initials should be placed next to any errors or mistakes made in Section 10.

By filling out Section 10 and signing it this confirms that:

  • the person applying for the passport and the counter signatory have been known to one another for at least 2 years.
  • the person applying for the passport is the same person who he or she claims they are
  • As far as the person providing the second signature knows, all the information on the form is correct and true at the time of providing the signature.

If you are lodging an application for a child passport the counter signatory must know the person who has parental responsibility over that child and who is signing the application form instead of the child, together with certifying the child's photo and signing it.

The passport photo

The provider of the second signature will be asked to write the following words on the back of one of the passport photographs provided to them:

I certify that this is a true likeness of the applicant [title and full name of the applicant].

The counter signatory must then be willing to add his or her signature by hand and the date of the signature below this short statement.

Additional information

  • Be aware that the passport office will run checks that the counter signatory is genuine by checking some of the information provided including, identity, profession or qualifications.
  • It is important that the counter signatory is informed that the passport office may contact them if necessary in order to perform these checks.
  • If the passport office is not satisfied with your choice of person for the second signature, or for any reason cannot reach the counter signatory, they are likely to ask you to complete a new application form with a different person providing the countersignature.

SECOND BRITISH PASSPORT EMPLOYER LETTER REQUIREMENTS

Employer Support Letter

Overview

Her Majesty's Passport Office requires a letter from your employer to support your application for a Second Passport stating the reasons for it. An Employer Support Letter must be provided for the following passport applications:

  • a first time Second British passport
  • a renewal of a Second British passport

Important Note

Please note that applicants can only hold a maximum 2 passports at a time, regardless of whether they have expired or not. If you have any undeclared second passports, then you must state these with our team members upon contact and application.

The letter must be

  • In the original hard copy format.
  • Printed on letter headed paper.
  • No older than one month (as shown by the date).

The letter must contain

The Employer Support Letter should be addressed to Her Majesty's Passport Office and must contain:

Your information:

  • Full name of the applicant.
  • The title/position of the applicant within the company.
  • How long they have been employed by the company for (state month and year of joining).

The information of the employer

  • Name of the person signing the letter. This person must hold a higher position in the company than the applicant or be a financial controller/accountant.
  • Signature of this person.
  • Telephone number of this person in case Her Majesty's Passport Office has any queries relating to the application.
  • Newly-formed companies must be VAT registered.
  • You cannot sign the Employer Support Letter on your own behalf if you are self-employed.

A statement explaining the reason for requiring a second passport

For example, that the applicant is required to travel to various countries whilst applying for a visa and thus needs a second passport to travel during it's processing. You must then list at least 6 countries where a visa will be required. Countries might include India, China, Russia, Nigeria, Saudi Arabia etc. It must also state that you will be travelling to these countries in the next few years and confirm that the applicant will return to the United Kingdom after the business trip.

THE BRITISH PASSPORT PHOTO REQUIREMENTS

TWO PASSPORTS

Overview

Two passport photographs need to be handed in alongside the application form for your passport. These photos need to meet very specific requirements. If these specific requirements are not exactly met then the application could take much longer or even not be successful at all.

How and where to get your passport photos taken

  • Although you can use a professional photographer to have your passport photographs taken, if you are in the United Kingdom another option is a Photo-Me booth which are often found in supermarkets and sometimes in post offices.
  • For our customers who do not live in the UK, a professional photograph is necessary as we cannot guarantee that photographs taken in a photo booth abroad meet the same standards as those in the UK.

How to get correct photo

Your photographs need to be

  • The standard size used in UK photo booths which is: 45mm high, by 35mm wide
  • printed by a professional or in a professional manner
  • independent photographs in their own right, not cut down from larger photographs or images
  • in colour (black and white is not accepted) onto plain white photo paper
  • with a background of a colour that is either plain cream or light grey
  • with no perceivable difference between the two pictures (i.e., identical to each other)
  • Taken in the recent past, no older than 1 month old.
  • with no tears, stains or creases
  • without markings on either side, unless that photograph requires a second signature
  • not in any way altered by hand or computer software, like Photoshop

The portrait must show

  • the subject's head and shoulders
  • the subject's eyes facing front with the head angled directly towards the camera
  • The subject's photograph should contain no other items, people, food or animals. (there is no exception to this rule for children)
  • 29mm and 34mm from the top of the subject's head to under the subject's chin
  • An expressionless facial expression and lips together
  • a head which is in no way covered (unless the head covering is being worn for medical or religious purposes).
  • Eyes which are not closed, with absolutely no reflection or glare from lenses or glasses. Another option is to entirely remove glasses for the photo. Red-eye will invalidate your photos.
  • Shadows will invalidate your photo.
  • It is required that there is a distinct and clear contrast between the subject's face and the background of the photograph.

SECOND PASSPORT PHOTOCOPY REQUIREMENTS

CURRENT PASSPORT OR PHOTOCOPY:

Overview

If you are applying for a Second British passport, the passport office will seek to review the pages inside your existing passport whilst evaluating your application. In order to support this, the passport office will require:

  • your current British Passport, or
  • A photocopy of the picture page along with a photocopy of every other page inside it.

What is a Second UK Passport, and why does one need one?

A Second Passport is when one person holds two different British Passports at the same time, and they are allowed to use them both simultaneously as well. The passports will have different passport numbers, and are considered totally unique to each other, with no link.

The second passport service is unique because:

  • Most of the people do not know that having two British passports at the same time is even possible.
  • The process to apply for 2nd UK passport can be done with just the photocopy of the applicants existing passport, the original is not required.
  • This can be done on a same day service also with Rapid Passports.

Who can apply for Second UK Passport?

SECOND BRITISH PASSPORT APPLICATION FORM REQUIREMENTS

Application Form

The form

The Passport Application Form is the first requirement for any kind of British passport application. The form is an A3-sized brown document with 10 sections that is issued by Her Majesty's Passport Office. The same form is used for all types of passport applications; however the way it is completed differs. You will find guidance below on how to successfully complete it.

Where to obtain it

The passport application form can be obtained from:

  • Some post offices; to locate a post office that has the form go to: http://www.postoffice.co.uk/branch-finder and select "passport Check & Send" in the service drop down menu.

How to complete the application form

General requirements

  • The form must be completed in black ink.
  • Writing must be in block capital letters.
  • All written answers need to be within the white boxes on the form.
  • Minor mistakes can be crossed out in black ink. Correction fluid is not permitted.
  • If you make more than three mistakes on any line or do not provide a clear signature in Section 9, you should complete a new application form.

Guidance per section

Section 1: What type of passport are you applying for?

  • Cross the box "your first British passport", even though it is an application for a second passport.
  • By default, you will receive a 32-page passport. If you would like a 48-page passport, please ensure you cross the appropriate box.

Section 2: Who is the passport for?

  • Your name should match your birth, marriage or nationality certificate.
  • If you have a middle name, leave one box blank for a gap between the two names.
  • For the personal details section of the passport, you can only include 30 characters (including spaces) for the first & middle name, and another 30 for the surname. If your name won't fit, please write them in a way you would like them shown on your passport. Please then write your full name in Section 8 and this will be added to the observation page on your passport.
  • Provide a full residential UK address. The Passport Office may check that you live at the address given. If they discover you do not live there, this may delay your application unless you provide an explanation of the circumstances in Section 8.
  • The Passport Office will return your passport to the address given. If you want it delivered elsewhere, you must explain why, and give the return address in Section 8. This does not apply to clients using Rapid British Passports as we collect them from the Passport Office personally and send them back to you.
  • Cross the relevant box to indicate whether you are male or female.
  • Provide the names of the town and country you were born in. These details must match what is stated on your birth, registration, or naturalisation certificate, or your previous British passport.
  • Please provide a UK telephone number only. International contact information will not be accepted. If you have a text relay number, write this in Section 8 if you cannot fit it in the boxes given.
  • If you do not have enough space to write your name or contact details, please use Section 8 of the application form.

Section 3: Have you had or been included on a passport before?

  • Provide your current passport number.

Section 4: Parent's details

  • Complete your parent's details.
  • If both of your parents were born after 31 December 1982 or were both born abroad you must also provide your grandparent's details in Section 8 or on a separate piece of paper.
  • Parents are defined in law as 'mother' and 'father' for nationality purposes. Nationality by birth cannot always be achieved through either parent's national status. This includes parents of the same sex. Because of this, it is essential that the 'mother' and 'father' are entered in the correct boxes. Step-parents and others taking a parental role that are not defined by 'mother' or 'father' must not fill in their details in Section 4.
  • If there is some information which you are unable to provide, e.g parents' place of birth, passport number etc, please refer to Section 8 or provide a letter addressed to the passport office stating the reasons why you cannot provide it.

Section 5: Certificate of registration or naturalisation

  • Cross the 'no' box if the applicant has been British since birth. You do not need to fill in any more details in Section 5.
  • If applicable, fill in the section and provide a copy of your certificate of registration or naturalisation with your passport application.

Section 6: Children aged 12-15

  • Not applicable.

Section 7: Blank

  • Leave blank.

Section 8: More information

Use Section 8 to

  • You must state in Section 8 or in a letter addressed to the passport office, where your current passport is. Since you will be providing a photocopy of the information page of your passport with your application you must provide an explanation for where your passport is. (We would advise you to say that it is in an embassy).
  • Complete a section you have not been able to fully complete due to a lack of space (e.g. your names could not fit in the dedicated boxes).
  • Add a note to explain the reason why you do not have sufficient information (e.g. parents' place of birth, passport number is missing on Section 4).
  • Explain the reason why a signature could not be provided in Sections 6 or 9. You can also attach a letter of explanation from an appropriate person such as a career, doctor, parent or social worker.
  • Add any extra information to support your application.

Section 9: Declaration

  • Ensure your signature does not touch the borders of the box.

Section 10: Countersignature

  • This section must be completed by the counter signatory.

Who is a counter signatory? A counter signatory is someone who can confirm your identity and confirm to the best of their ability that the information you have provided is correct, along with verifying that the photograph is of you. The counter signatory must be a valid UK passport holder, live in the UK, have known the applicant for 2 years, have professional capacity and must not be related to you (by birth or marriage), be in a personal relationship with you or work for the HM Passport Office.   • The counter signatory must give their full address and contact details of where they can be contacted, this could be a home or business address.
  • The counter signatory must certify one of the applicant's photographs, and state that they certify it is a true likeness of ‘applicant's name' and sign and date it.
  • They must be their initials next to any mistakes they make in section 10.
  • The Passport Office will check that the counter signatory is genuine; they may ask you to provide a new application form with a new counter signatory if they are not satisfied with the one provided.
  • Ensure the signature of the counter signatory does not touch the borders of the box.
